Development Coordinator/Executive Assistant

Description:

As an integral member of the Development and Executive team, the Development Coordinator/Executive Assistant will help cultivate, steward, and expand the relationships between the organization and its donors by providing extraordinary service and appropriately maintaining and managing donor information. The Coordinator will also manage and execute special events, meetings and communications to grow and maintain donor relations. The Coordinator will work closely with the Executive Director by providing administrative support.

SALARY – $32,000/yr.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Maintains and updates donor database
  • Creates acknowledgments and receipts for donors on a timely basis
  • Provides support for UP events including promotion, registration and logistics
  • Assists with the creation and distribution of electronic and print communications and appeals
  • Provides oversight of daily development operations, including ordering supplies, scheduling appointments, and meetings support
  • Assist with specific activities related to implementation of special events, including donor mailings, reservations, clerical assistance, day of event support, gift tracking and etc.
  • Creating Reports using excel spreadsheets
  • Manages board sub committees groups
  • Manage Executive Director calendar
  • Data enter notes on behalf of Executive Director
  • Assist Executive Director to prepare for meetings, tours and presentations
  • Making travel arrangements and expense reports for Executive Director
  • General administrative support
  • Prepare reports, memos, invoice comparison, and other documents
  • Oversees social media platforms and social media scheduling software
  • Coordinates special events, projects, meetings and fundraising activities as assigned

 

QUALIFICATIONS

  • In-depth understanding of the entire Microsoft Office Suite
  • Type 40+ wpm
  • Create advanced excel spreadsheets
  • Ability to organize daily workloads by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with a strong decision-making skills
  • Professional level verbal and written communications skills
  • 1 years’ experience coordinating donor relations
  • 3 years’ experience as administrative assistant
  • Previous fundraising and events coordination preferred
  • Proficient in or ability to learn and use donor and event management software (including DonorPro, EventBrite and FirstGiving)
  • Ability to gather, analyze and summarize information including numerical and financial data
  • Must be detail-oriented and have the ability to prioritize and complete projects with discretion and mature judgment
  • Experience planning, coordinating and leading events and projects
  • Ability to oversee volunteers and student leaders

 

EDUCATION/EXPERIENCE REQUIREMENTS

  • BA/BS in Nonprofit Management, Business, Marketing or related field preferred
